Apartment List and Grotto AI Bring Renter Preferences Into Leasing Calls and Tours

Apartment List and Grotto AI have partnered to carry renters’ preferences from an online apartment search into the calls and tours that follow. Announced November 3, the integration gives leasing teams information such as budget, move-in date, pets and preferred amenities before they speak with a prospective resident.
The goal is to remove a recurring break in the rental journey: someone explains what they need during a search, then has to start again when a property team answers the phone. Grotto combines Apartment List’s renter information with property details and available inventory, then uses it to guide leasing agents toward more relevant conversations and recommendations.
Connecting Search Preferences With Leasing Conversations
The partnership links two different parts of the process. Apartment List helps people discover suitable homes; Grotto helps the property’s staff prepare for and conduct the human interactions that turn an inquiry into a visit.
For someone seeking a two-bedroom apartment with in-unit laundry and room for a pet, the intended benefit is concrete. A leasing agent can begin with relevant units and features rather than spending the first part of a call collecting information the renter has already provided.
Mike Wolber, Apartment List’s chief sales officer, said in the announcement that the integration brings renters’ existing preferences directly to leasing teams so conversations can build on earlier interactions. Grotto co-founder and CEO Nick Deveau described the broader problem as a succession of interactions that start without context from the previous step.
What the Early Conversion Test Measures
In a randomized A/B test across 311 communities at Weidner Apartment Homes, one of the largest U.S. apartment operators, lead-to-tour conversion increased by 35% when Grotto surfaced Apartment List’s renter preferences and coached agents to use them, according to the companies.
The reported improvement measures prospects progressing to a tour, rather than a 35% increase in signed leases or occupancy. The release does not provide the number of individual leads, test duration or statistical uncertainty, so the result is best understood as an early company-reported outcome from one operator.
Apartment List’s Matching Technology Supplies the Context
Apartment List’s role extends beyond publishing property listings. Its matching system uses renters’ stated needs alongside information about the homes available, while its broader AI products support engagement across the search journey. The company says its data foundation includes 12 million leases with known outcomes and 65 million conversations between renters and properties.
A recent Apartment List product announcement illustrates that broader direction. Its Gemini Connected App lets renters search live listings conversationally using criteria such as budget, pets, move-in timing and amenities, with pricing that includes mandatory fees. The Grotto partnership addresses a different handoff: making information gathered during discovery useful to the leasing team.
Technically, that handoff depends on connecting a renter’s requirements to the correct prospect record and the property’s current inventory. Preserving those relationships can be more useful than passing along an unstructured conversation that an agent must read and interpret from scratch.
How Grotto Guides Calls and Learns From Tours
Grotto’s Call Guidance product provides real-time conversational assistance, searchable property knowledge and unit recommendations. It also describes automatically capturing renter information and sending it to customer relationship management or property management software, helping the next team member prepare for a tour.
Its tour-coaching workflow extends from preparation to recording, post-tour feedback and follow-up. Grotto says the system can generate coaching and performance scorecards, populate guest cards and draft next steps from tour information. These are broader product capabilities; the partnership announcement specifically highlights bringing Apartment List preferences into the leasing workflow.
This is an AI-assisted sales model centered on the leasing employee. The system supplies preparation and guidance while the agent conducts the conversation. The announcement does not disclose the underlying model provider, integration protocol or the detailed technical design of the preference exchange.
A More Continuous Rental Journey
The partnership’s significance is the connection between discovery and service. Better matching can bring a renter to a suitable property, but the advantage is weakened if the next conversation loses the information that made the match relevant.
By carrying that context into calls and tours, Apartment List and Grotto aim to make each interaction build on the last. The early tour-conversion result offers an initial measure of that approach; longer-term outcomes will depend on whether better preparation also produces suitable matches, completed leases and a smoother experience for renters.
